Backing up Microsoft Outlook 2016

Summary:

There are two methods of backing up your mail in Microsoft Outlook 2016 for Mac. Those methods are to backup the live profiles, or to manually archive and select the .OLM file made by archiving.

Solution:

Method 1: Backing Up the Main Profiles location

This process will guide you through manually locating and selecting the Main Profiles folder for backup.

  1. Open Finder.
  2. In the Menu Bar at the top of your screen click Go
  3. In the menu given select Home.
    • If you see a Library folder, then proceed to Step 7.
    • If you do not see a Library folder then continue to Step 4.
  4. With the Home folder in focus return to the menu bar and select View.
  5. Near the bottom of the View list select "Show View Options"
  6. Click the checkbox next to "Show Library Folder"
  7. Click the Carbonite icon in the top right of the Menu Bar and choose "Open Carbonite"
  8. Under the MY FILES section on the left select your username (Which should have an image of a home beside it)
  9. Once that page has loaded you will have to navigate to the path noted below: (~/ is Mac shorthand for your Home folder)

    ~/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles
  10. Once in Outlook 15 Profiles folder click the Main Profiles folder to select it, and then click the Back This Up button.

Method 2: Archiving for backup

To back up your mail via archive on Microsoft Outlook 2016 for Mac, you will first need to manually archive your email to an .OLM file in Outlook.

After the data is exported from Outlook, you can select it for backup like any other file.

Special Note: If you have Exchange configured Mailboxes (EWS) in Microsoft Outlook 2016 for Mac, then you should not have those selected for backup with Carbonite. Those mailboxes are managed via Exchange and will resync to a new device when you connect with the appropriate credentials. If you have Exchange (EWS) and non-Exchange (IMAP, or POP) mailboxes, then you will need to work with your IT to determine which Profile folders you need to select for backup.
